Submit an opportunity
Submit an automation idea with the guided form, save drafts, check for duplicates, and add opportunities from running automations or captured processes.
An opportunity is an idea for something to automate. You describe the process, its volume and the benefit you expect; reviewers take it from there. Before you start, check that you hold launchpad_opportunities create (for example Launchpad Program Manager, or a custom submitter role). See Roles and access. Submit with the guided form# Select Submit opportunity in the rail (or on Overview or All opportunities). On Basic information, enter the Opportunity name and describe the idea: Short description, Business problem, Expected outcome and Detailed description. Pick the Business unit, Department, Category and Country / region, and enter the Process, Priority, Process owner, Business owner and Tags. Fields marked * are required before you can submit. Select Next. On Opportunity type, choose one or more types, for example RPA Automation and Document Automation. Select Next. On Process information, describe how the process runs today: Process frequency, Transactions per day, per month or per year, Average handling time (minutes), Employees involved, Manual effort (hours per month), Exception rate (%), Error rate (%), Process maturity (1–5), Process standardization (1–5), Process documentation and Data sources. Under Applications involved, tick the applications from the application inventory. Volume and handling time drive the estimateThe estimated hours saved are calculated from the transaction volume and the average handling time (or, if you don't know them, the manual effort per month). Fill them in so reviewers can score the opportunity. See Assess and score. Select Next. On Expected benefits, choose the benefit types and add Benefit notes. Custom fields set up for the chosen types and category also appear here. Select Next. On Documents, add files (for example an SOP or sample files) and pick a category for each. Files are attached when the draft is saved. Select Preview. Review & submit shows everything you entered, any similar opportunities, and the fields still needed before submitting. Select Submit opportunity. The opportunity opens with its key (for example LP-0000009) in the Submitted phase, and you follow it automatically. You can move between steps with the step list on the left. Save draft saves the opportunity as a draft at any step; drafts wait under My work ▸ Drafts. To submit a draft later, open it and select Submit. Mandatory fieldsYour administrator decides which fields are required to submit (by default Short description, Business problem and Opportunity types). See Submission rules. When the tenant's AI features are on, Basic information also shows Describe the idea: write a rough description and select Draft fields to have the name, problem, outcome, type and frequency proposed for you. Check the result before you submit. Duplicate check# When you leave Basic information and again on Review & submit, Launchpad looks for similar opportunities by name, descriptions, process, category, business unit and applications. A match shows its similarity in percent, how it was found (Similar wording, Similar meaning or Similar wording and meaning) and a link that opens it in a new tab. Text matches only means only the wording was compared. A similar opportunity doesn't stop you from submitting. If yours really is the same idea, follow or comment on the existing one instead. Reviewers can also link or merge duplicates later; see Work with opportunities. Withdraw a submission# While an opportunity is in Submitted, its submitter (or someone who can manage its status) can select Withdraw. It goes back to draft so you can rework and resubmit it. Register an automation that already runs# To track the benefit of an automation that is already live: Open All opportunities and select Register existing automation. Pick the automation. Automations already fully allocated to other opportunities show 100 % allocated. Optionally change the Opportunity name, and set the Process owner and Average handling minutes. Under Count transactions by, choose one of the automation's queues, or Runs of the automation (no queue) and the Transactions per run. Leave Allocation (%) empty to take what is still unallocated. Select Register automation. The new opportunity starts in Production, linked to the automation, and opens on its Benefits tab. See Measured benefit. Import captured processes# All opportunities ▸ Import captured processes turns a task-capture file into draft opportunities, one per process. The file is JSON in the velophex.task-capture/1 format: captured-processes.jsonJSONCopy{ "format": "velophex.task-capture/1", "processes": [ { "name": "Invoice intake", "description": "Copy invoice totals from the shared mailbox into the ERP", "applications": ["Shared finance mailbox", "Acme ERP"], "steps": [ { "name": "Open the invoice mail", "application": "Shared finance mailbox", "action": "click" }, { "name": "Enter the total", "application": "Acme ERP", "action": "type" } ], "frequency": "daily", "transactionsPerMonth": 1200, "averageHandlingMinutes": 6, "typeKeys": ["rpa"] } ] } name is required. The description is cut at 500 characters; the steps become the detailed description. frequency and typeKeys use the keys from Settings ▸ Lists and Opportunity types. One file holds 1 to 100 processes. A process that fails validation is reported and the rest are still created. Each draft is tagged task-capture. Next steps# Work with opportunities Assess and score
