Work on tasks
Find your tasks, claim one, fill in the form, record your decision, and use comments and history.
The Tasks page is the Action Hub inbox. The list is on the left and the selected task on the right. You need action_task.view to see tasks and action_task.edit to work on them. Find your tasks# Three views sit at the top of the list. Each shows how many open tasks it holds. View Shows My tasks Open tasks assigned to you. The inbox opens here when you have any. Group queue Open, unassigned tasks queued for a group you belong to. All Every task you can see, including completed and canceled ones. Narrow the list with Search and the Priority, Due (Overdue, Due in 24 hours, Due in 7 days, No due date), App and Workspace filters. Each row shows the task title, its status, who holds it (Me, a name, Queue: group or Unassigned) and the app. The due chip shows urgency in words: Due date: on time. At risk · due date: inside the app's at-risk window. See Service level. Overdue · date: past the due date. A Late or Automation ended badge means the automation that raised the task has ended. See When the automation has ended. The list updates live. When tasks change, a N new updates · Show button appears instead of reordering the list under you. If the live connection drops, the inbox says Live updates paused · checking every 30 s. Claim a task# A task is read-only until you hold it. Select the task in Group queue or All. Read the header: due date, who holds it, the app and version, and Raised by job number · process. Select the job link to open the job's logs. Select Claim. The task moves to My tasks with status In progress and the header says Assigned to you. The first response field gets the focus. If someone else holds the task, a banner says name is working on this task. You can read it; only they can complete it. Record your decision# Check the Request section (the fields the automation filled in). Fill in the Response fields. Required fields are marked. Select an action at the bottom, for example Approve. Some actions ask you to confirm first (a Danger action, such as Reject, always does). Select the action again in the dialog. An action that requires a valid form checks the required fields first and moves the focus to the first one that is missing. An action such as Reject can be taken with required fields empty. The decision is final. The task shows a receipt: Recorded: action by name and what happens next for the automation, for example The waiting job receives this decision. The inbox moves on to the next open task; select Next task on the receipt to do the same. KeyboardIn the list, j and k move between tasks and Enter opens one. On a task you hold, Alt+1 to Alt+9 run the actions in order. Release a task# To hand a claimed task back without deciding, select Release. It goes back to the queue (Task released to the queue). Comment and read the history# Below the form, the Comments tab holds the discussion. Write in Add a comment and select Comment. Comments cannot be edited or deleted and are not part of the decision. The person holding the task is notified. The History tab is the task's audit trail, newest first: Created, Claimed, Assigned, Queued for a group, Released to the queue, Priority or due date changed, Commented, Completed: action and Canceled: reason. Banners you may see# Banner Meaning You raised this task (or You started the job that raised this task) …this app forbids self-approval. The app has Forbid self-approval on and you are the requester. Another member of the workspace must decide. Your decision was not saved. Someone completed, canceled or took the task while you were working. Your input is kept below so you can copy it. Data removed by retention on date The task is closed and its data was removed by the tenant's retention. The decision, comments and history are kept. See Tenant settings. When the automation has ended# A task raised by a job that waits for the answer is flagged Automation ended when that job ends first (for example, it was canceled). You can still decide it, but the decision is recorded as late and nothing resumes. A manager can cancel such a task instead. Next steps# Manage tasks Ask a person from an automation
