Action Hub overview
What Action Hub is, how tasks and apps fit together, who can do what, and where to find it.
BetaAction Hub is in beta. A platform administrator enables it for each tenant, and it must be part of the tenant's subscription. See Platform administration. Action Hub puts a person in the loop of an automation. When an automation reaches a decision it should not make on its own (an invoice over the approval limit, extracted data that needs checking, an item to classify), it raises an action task. Someone claims the task, reads the request, fills in the form and picks an action such as Approve or Reject. The automation receives the decision as typed data and carries on. Key terms# Term What it is Action task One decision to make. It shows the request data, a response form and action buttons. Action app The form a task uses: its fields, its actions and its settings. An app has a stable key (for example approval) and numbered, published versions. Field direction Filled by automation (request data, read-only for the reviewer), Filled by reviewer (the answer) or Both (pre-filled by the automation, editable by the reviewer). Action A button on the form. The id of the action the reviewer picks is the task's outcome, for example approve. Group queue A tenant group a task is queued for. Any member can claim it. Continuation An automation an app starts when one of its tasks is completed, so no robot waits while a person decides. Enabling Action Hub creates a published, tenant-wide app named Approval (key approval, version 1). It has the request fields title, amount, requester and justification, the response field comment, and the actions Approve and Reject. Task lifecycle# Status Meaning Unassigned Waiting in the queue (for everyone who can see it, or for one group). In progress Claimed by, or assigned to, one person. Only that person can complete it. Completed Someone picked an action. The decision is recorded and cannot be changed. Canceled A manager or the automation canceled it, with a reason. A task keeps the app version it was raised with, even after a newer version is published. Open Action Hub# Select the app launcher (the grid icon at the top left) and choose Action Hub, or select the Action Hub card on the Home page. The left menu has two pages: Tasks: the inbox where people work on tasks. See Work on tasks. Apps: the forms tasks are raised from. See Build an action app. Permissions# Permission Lets a person Scope action_task.view See tasks, their comments and history. Workspace or tenant action_task.edit Claim, release and complete tasks, and comment. Workspace or tenant action_center.view See apps and their versions. Tenant action_center.edit Create, edit and publish apps; create, reassign, queue and cancel tasks; use bulk actions. Tenant A task belongs to a workspace (the job's workspace, or the app's when the app is tied to one). People see only tasks in workspaces they can see. The built-in Operator role includes action_task.view and action_task.edit; a workspace administrator role includes them for its workspace. Grant them in Manage access; see Manage access.
