Manage tasks

Reassign, queue and cancel tasks, act on several at once, create a task by hand, and get alerts for tasks at risk.

Managers keep work flowing: they move tasks between people and group queues, cancel tasks that are no longer needed and watch due dates. Everything on this page needs action_center.edit. Reassign a task# Open the task on the Tasks page. Select Reassign. Under Assign to, choose a person (People), a group (Group queues) or Nobody (back to the queue). Select Reassign. A person must be able to work on tasks in the task's workspace to appear in the list. Queuing a task for a group releases the current holder, so any member of the group can claim it. A manager can also Release a task someone else holds. Cancel a task# Open the task and select Cancel task. Enter a Reason. Select Cancel task. Canceling cannot be undone. The receipt shows Canceled: reason, and an automation waiting for the task is told it was canceled. Act on several tasks# On the Tasks page, tick the tasks (or Select all shown). Select Assign… or Cancel…. For Assign…, choose a person or group queue under Assign to and select Assign tasks. For Cancel…, enter a Reason and select Cancel tasks. A table then shows Done or Failed for each task, with the reason. Failed tasks stay selected so you can try again. There is no bulk complete: each decision is made on its own task. Create a task by hand# Most tasks come from automations. To ask someone for a decision directly: On the Tasks page, select New task. Enter a Title, and choose the Type (Approval, Document review or Classification) and Priority (Low, Normal, High). Optionally fill in App or process (free text shown on the row) and Due. Select Create task. A task created this way has no app form. It shows a Reviewer note field and, for the Approval type, Approve and Reject; for the other types, Complete task. No automation waits for it. Due dates, SLAs and alerts# A task's due date comes from the automation that raised it or, if it sets none, from the app's Due in setting. The app's At risk before setting decides when the task shows At risk. See Build an action app. To be told about tasks that slip, a tenant administrator adds an alert rule of type Action task at risk or Action task overdue under the tenant's alert settings.
